Lodging & Cottage Rental Cancellation Policy 

Waldenwoods Resort understands that plans may change. To provide clarity and fairness to all guests, we have established the following standardized cancellation policy for all cottage rentals. This policy applies to all reservations unless a separate written agreement or non-refundable rate plan has been explicitly confirmed at the time of booking. 

Cancellation deadlines are calculated based on the scheduled check-in date (check-in time is 3:00 PM Eastern Time). All cancellations must be received in writing via email to memservice@waldenwoods.com. Telephone cancellations are not accepted.

*Refunds are issued to the original form of payment used at booking. Any processing fees charged by third-party booking platforms, credit card companies, or banks are non-refundable and will be deducted from the refund amount where applicable. 

Additional Policy Details 

  • Date Changes / Modifications: Requests to change reservation dates are treated as a cancellation of the original booking and a new reservation. The above cancellation terms will apply to the original dates, and availability/rates for the new dates are not guaranteed. 
  • No-Shows: Guests who fail to arrive on the scheduled check-in date (no-show) forfeit 100% of the reservation total with no refund. 
  • Early Departures: Guests who check out prior to their scheduled departure date are not eligible for any refund of unused nights. 
  • Non-Refundable Reservations: Certain promotional rates, holiday periods, or special event bookings may be sold as strictly non-refundable/non-changeable. These terms will be clearly disclosed at the time of booking and supersede the standard policy above. 
  • Extenuating Circumstances: Waldenwoods Resort does not offer refunds or exceptions for weather, illness, travel restrictions, personal emergencies, or any other circumstances outside the resort’s control. We strongly recommend that all guests purchase comprehensive travel insurance. 

We appreciate your understanding that this policy allows us to maintain availability for all guests while covering the significant costs associated with holding reserved accommodations.
